Every invoice checked, approved and posted.
ImmoDMS is document management for property managers. Documents arrive in one place, go through your approval and on to your accounting system.
First call: 30 minutes, online, no obligation.
In the picture: the accounting overview. Whatever is due today comes first.
One path for every document
Three steps instead of three systems. The videos show the real software.
-
IntakeDocument in, data captured.
By upload, email inbox or scanner. ImmoDMS reads supplier, property, amounts and early-payment discount, and checks everything against your master data.
- Warns about changed bank details
- Detects duplicate invoices
- Suggests the ledger account
-
ApprovalReview, approve, hand over.
In review mode, the document sits on the left and the decision on the right. Above your approval limit, the system asks for a second signature, then the invoice goes to your accounting system.
- Four-eyes principle above an amount you set
- Discount deadlines at the top
- Handover with account coding
-
ArchiveFound in seconds.
Every document is stored unalterably in the archive and is full-text searchable, with property, supplier, case and retention period.
- Full-text search, even in scans
- Versions and a complete history
- Retention periods and legal hold for disputes
Works with your accounting system
ImmoDMS doesn’t replace your accounting, it feeds it. DOMUS 4000 is already connected. We connect any other system and test it upfront with your real data.
- DOMUS 4000
- Approved invoices go across with account coding, and the posting status comes back automatically.
- DATEV
- Whether you post yourself or your tax adviser does: invoices and documents arrive where the posting happens.
- Property ERP systems
- We connect systems from Aareon, Haufe, Karthago and others through an interface.
- SAP and in-house systems
- SAP or your own database, too, if that is where you post.
A resolution register for your owners’ associations
For the resolution register under German condominium law (§ 24(7) WEG): complete, numbered consecutively and traceable.
- Numbered consecutively
- The system assigns the running number per association, with no gaps.
- Wording and result
- Resolution text, meeting date, agenda item and votes. If the result does not match the votes, the system asks.
- Nothing is overwritten
- Recorded resolutions cannot be changed afterwards, so every entry stays traceable with its date.
- Linked to the minutes
- The meeting minutes in the archive are one click away.
Built for the auditor, not just for everyday work.
- Built for GoBD-compliant archiving
- Stored unalterably, with a checksum that reveals any later change, and a complete history.
- Four-eyes principle
- Enforced on the server, even for administrators.
- Every action logged
- Who reviewed, approved or changed what, and when.
- Retention periods
- Set automatically per document type, with a legal hold for disputes.
- Protection against invoice fraud
- Unknown bank details and duplicates are flagged before payment.
- GDPR data protection
- Role-based permissions and a data processing agreement under Art. 28 GDPR.
Switching from DocuWare and other systems
What matters is how long the export takes, not the notice period.
- Plan the export first
- Large archives take weeks. We work backwards from the end of your contract.
- Search fields come along
- Supplier, property and document date stay searchable, each document with its proof of integrity.
- Retention periods continue
- Retention periods carry on seamlessly in the new archive.
- No duplicate work
- The old system runs until the cut-over date, then only ImmoDMS.
Common questions
Which accounting systems does it work with?
With the one you have. DOMUS 4000 is already connected. We connect DATEV, SAP or ERP systems from Aareon, Haufe and Karthago through an interface. Whether and how that works, we check with real data before we commit to anything.
What about data protection?
Your data is stored in Germany. We sign a data processing agreement with you under Art. 28 GDPR. Everyone sees only what their role allows, and tenants see only their own data.
How much work is the rollout?
You introduce it step by step, not all at once. First you test it for ten days with your real data, then you get training and a dedicated contact.
What does it cost?
That depends on which modules you use and how large your portfolio is. After the first call and the trial run, you receive a fixed offer that includes all follow-up costs.
See ImmoDMS with your own documents.
In the call, we follow one of your invoices from receipt to posting.
